Niiio AI (“Niiio,” “we,” “us”) provides an AI-powered sales concierge platform for home builders. This policy explains what data we collect, how we use it, and how we protect it.
Information We Collect
- Account information— name, email address, and company details you provide when you sign up.
- Knowledge base content— documents, spreadsheets, and website content you upload for your AI assistant to reference.
- Email data— when you connect your inbox, we access incoming lead inquiries and send AI-generated replies on your behalf. We do not read or store emails unrelated to lead inquiries.
- Usage data— conversation logs, token usage, and basic analytics to improve the service.
- Payment information— processed securely by Stripe. We do not store your credit card details.
How We Use Your Data
- To operate and improve the Niiio platform.
- To generate AI responses on your behalf using your knowledge base.
- To send and receive emails through your connected inbox.
- To process payments and manage your subscription.
- To communicate with you about your account and service updates.
Buyer Data and Lead Qualification
When buyers communicate with your AI assistant, the Service may collect and process the following buyer information from email conversations: name, email address, phone number, expressed preferences (budget, timeline, community interest, home type), and conversation history. This information is used to:
- Generate relevant, personalized AI responses.
- Qualify leads based on expressed interest and readiness.
- Route escalations to the appropriate team member.
- Send follow-up emails on behalf of the builder.
This buyer data is stored in your account and is accessible only to you and your authorized team members. Niiio processes this data on your behalf as a data processor.
Automated Decision-Making
The Service uses automated processing to qualify leads, classify email intent, and route conversations to appropriate team members. These automated processes assist your sales team but do not make binding decisions on behalf of buyers. Buyers can request to speak with a human team member at any time, and all automated classifications can be overridden through your dashboard.
If you serve buyers in Quebec, please note that Quebec's Law 25 requires notification when decisions are made through automated processing of personal information.
Third-Party Services
We use the following third-party services to operate the platform:
- Supabase— database hosting and authentication.
- Stripe— payment processing.
- Anthropic (Claude)— AI language model for generating responses.
- OpenAI— text embeddings for knowledge base search.
- Google & Microsoft— email OAuth and inbox connectivity.
- Google (Gemini)— AI image analysis for floor plans and visual content, and text embeddings for image search.
Each service operates under its own privacy policy. We only share the minimum data required for each service to function.
Data Security
We use encryption in transit (TLS) and at rest. OAuth tokens are stored securely. Access to production systems is restricted to authorized personnel. We follow industry-standard practices to protect your data.
Cookies
We use essential cookies for authentication and session management. We do not use third-party tracking cookies or sell your data to advertisers.
Your Rights
You may request access to, correction of, or deletion of your personal data at any time. You may also disconnect your email inbox or delete your account entirely. To exercise any of these rights, contact us at the address below.
Data Subject Requests
Buyers may request access to, correction of, or deletion of their personal data. If a buyer contacts you with such a request, you can manage their data through your dashboard or contact us at support@niiio.ai and we will assist in fulfilling the request within 30 days.
